Job Description:

The Manger of Volunteer Services is responsible for the organization’s volunteer program specifically, recruitment, training and assignment of volunteers that support The Clinic.  He/she matches interested volunteers with an opportunity that suits their skills and serves the organization. The Manager of Volunteer Services makes an effort to ensure that individual volunteers feel comfortable with their placements and fully understand their responsibilities.

These duties are to be performed to ensure that the execution of The Clinic’s mission to “provide quality health care to the uninsured in an atmosphere which fosters dignity and respect for our patients.  It is our privilege to do so.” remains at the forefront.

Although the Manager of Volunteer Services must work independently to fulfill the responsibilities of the job, he/she must also work collaboratively, in a teamwork spirit, with the Executive Director and Administrative and Clinical Teams on a daily basis in the best interests of The Clinic and its mission.  

Responsibilities & Duties

Assessing and addressing needs:

  1. Develop and implement policies and procedures for the overall volunteer program.
  2. Liaise with staff in The Clinic to understand how they work, develop partnerships and assess their volunteer needs.
  3. Prepare written volunteer job descriptions, as required.
  4. Recruit volunteers and ensure they are appropriately matched for a position; provide updates to staff team on recruitment efforts through email or meetings.
  5. Complete Pennsylvania State Police Criminal Record Check and the State Child Abuse Clearance for clinical volunteers.
  6. Manage the Credentialing and Privileging of volunteer health care professionals, working with the Chief Medical Officer.
  7. Keep current with legislation and policy related to volunteering and making any necessary modifications to accommodate changes.
  8. Manage the database of volunteers, with absolute attention to detail.
  9. Manage the schedule for interviews, and provide on-site orientation.
  10. Ensure there is appropriate support and training for volunteers provided by the area Supervisor; bring concerns to the attention of the Executive Director.
  11. Support and motivate volunteers, through regular communication, volunteer newsletter or other activities.
  12. Manage the annual Volunteer Appreciation Event, oversee the budget, venue and program.
  13. Promote volunteering (internally and externally) through recruitment and publicity strategies
  14. Offer advice and information to volunteers and external organizations through face-to-face meetings, telephone and email contacts.
  15. Organize profile-raising events to attract new volunteers and manage on-site corporate volunteer opportunities.
  16. Attend community events to promote volunteerism at The Clinic; as well as attend committees and meeting relating to events.
  17. Maintain databases and undertake any other administrative duties as required.

Job Requirements:

  1. College degree; 2 years’ experience in positions that involved significant interactions with multiple groups.
  2. Outgoing personality; must be comfortable talking in front of groups of people.
  3. Knowledge of regulatory standards and compliance requirements that may be pertinent.
  4. Superior time management skills   
  5. Ability to manage, train and schedule volunteer staff. Previous supervisory experience is preferred.
  6. Ability to quickly adapt to changes in the industry, requirements of the clinic and the needs of volunteer staff.
  7. Ability to work independently, resolve issues, set goals and forecast for the future.
  8. Computer literacy in software such as, Microsoft Excel and Word.
  9. Flexibility to attend meetings or events on weekends or evenings as scheduled.
  10. Computer proficient (MS Office)
  11. Must be able to climb two to three flights of stairs repeatedly during the day
  12. Occasional lifting and/or moving  files up to 20 pounds
